Secretarial Support

  • Provide advice to the Managing Director on matters that require personal attention with associated deadlines and prepare the relevant documentation and submission.
  • Support the Managing Director in appointment scheduling and calendar maintenance.
  • Provide administrative and clerical support to organize meetings and functions for the Managing Director.
  • Prepare reports for the Managing Director by collating information from various parties.
  • Provide historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.
  • Maintain internal and external customers’ confidence and protect operations by maintaining strict confidentiality on all matters.
  • Handle expense claims and travel arrangement by preparing the itineraries and agendas, flight scheduling, booking of transportation, arranging lodging and meeting accommodations.

Admin Support

  • Responsible for onboarding, offboarding and other administrative related matters.
  • Maintain office supplies inventory, anticipate needed supplies, evaluate new office products, and verify receipt of supplies.
  • Ensure operation of office equipment by completing preventive maintenance requirements, troubleshooting malfunctions, arranging for repairs, and maintaining equipment inventories.
  • Assist in organizing staff meetings and coordinate employee engagement activities to create positive employee experience.

Legal Support

  • Follow up proactively on all legal issues in the country to comply with local legislation.
  • Stay alert to new rules and regulations related to the logistics industry.
  • Coordinate all necessary legal documents and formalities with relevant authorities.

Minimum requirements

  • Bachelor’s degree in business or related discipline.
  • Minimum 5 years of secretarial experience supporting senior leaders (C-suite or equivalent).
  • Good command of written and spoken English and local languages.
  • IT-savvy with good proficiency in Microsoft office.
  • Excellent negotiation, communication, and interpersonal skills.
  • Self-motivated individual who is efficient and organized.
  • Works well under pressure and able to multi-task.
  • Outgoing personality and active listener during meeting
  • Willing to travel as needed.
