The Procurement Administrative Assistant is responsible for supporting the Procurement Department in the management, negotiation, and follow-up of suppliers related to RoRo operations. The role ensures competitive pricing, high service quality, and compliance with company standards, while guaranteeing that all administrative and documentation processes are executed efficiently, accurately, and on time.

What You'll Do:

  • Supplier Management: Support the identification, evaluation, and onboarding of new suppliers (shipping lines, terminals, trucking companies, PDI, customs, technical services). Maintain updated databases, tariffs, and commercial conditions.
  • Quotations & Comparisons: Request quotations, prepare comparison sheets, and provide recommendations based on cost, service, and compliance criteria.
  • Negotiation & Contracting: Participate in basic negotiations under supervision. Review service conditions, SLAs, lead times, and billing terms. Assist in preparing contracts, framework agreements, and renewals.
  • Operational Support: Coordinate with Operations and Customer Service to ensure suppliers meet agreed service levels. Follow up on incidents and operational deviations.
  • Cost Control & Analysis: Review cost deviations versus agreed tariffs and support cost optimization initiatives.
  • Administration & Reporting: Perform preliminary validation of tariffs, invoices, and contractual documents. Update internal procurement tools and systems.
  • Continuous Improvement: Contribute to digitalization initiatives, workflow improvements, and market analysis to identify opportunities or risks.
  • Maintain and update the customer database (CRM), ensuring financial control and assisting with forecast and budget preparation.

Minimum requirements

Qualifications:

  • Vocational Training (CFGS) or Bachelor’s Degree in Administration, International Trade, Logistics, Economics, or similar.
  • 1–2 years of experience in administrative roles, ideally within logistics or procurement environments.
  • Knowledge of procurement processes and supplier management.
  • Experience in tariff analysis, service follow-up, and documentation validation.
  • English level B2 (ability to hold phone conversations with international suppliers).
  • Strong MS Office skills, especially Excel.
  • Strong organizational skills, attention to detail, and good communication abilities.
  • A proactive, team-oriented mindset with strong problem-solving skills.
